Job Summary:

The Project Operations Executive is responsible for supporting the end-to-end operational execution of events and projects, ensuring all logistical, technical, and stakeholder requirements are met effectively and efficiently. This role involves close coordination with internal teams, external vendors, and career services to ensure seamless planning and on-site management. The executive also contributes to budget tracking, operational planning, and creative support through basic design tasks. This position requires strong organizational skills, problem-solving ability, and a proactive attitude to manage multiple priorities in a fast-paced, event-driven environment.

 

Key Responsibilities (included but not limited to):

  • Operational Planning: Assist in planning and coordinating operational aspects of events and projects to ensure smooth execution.

  • Operational Coordination: Liaise with vendors, including venue management, catering, and technology providers, to secure necessary services.

  • Logistics Management: Manage the logistics of the event and ensure all technical requirements are met including audio, visual equipment and registration systems.

  • Communication with Career Services: Collaborate closely with career services to arrange setups and ensure that all operational needs are met for events.

  • On-Site Operations: Oversee the event and promptly address any issues that arise. Make decisions to resolve issues by implementing safety and health regulations and emergency protocols as needed.

  • Budget Management: Assist in planning budgets and monitor expenses to keep projects within financial limits.

  • Stakeholder Support: Maintain clear and effective communication by collaborating closely with the project manager to ensure alignment and facilitate information sharing throughout the project.

  • Design Support: Create graphic designs for projects that align with brand guidelines and meet project objectives.


Requirements

  • Bachelor's degree in Business Administration, Project Management, Event Management, Communications, or a related field.

  • At least 2 years of experience in project coordination, operations, or event management is essential.

  • Strong understanding of project workflows, event logistics, vendor coordination, and operational best practices.

  • Excellent verbal and written communication skills to interact effectively with internal teams, vendors, and stakeholders.

  • Proven ability to build and maintain strong working relationships with colleagues, partners, and service providers.

  • Familiarity with project management tools, scheduling platforms, and standard office software (e.g., Google Workspace, Microsoft Office).

  • Strong organizational and multitasking abilities to manage multiple ongoing projects with tight deadlines.

  • A proactive, problem-solving mindset with an eye for detail, and the ability to adapt quickly to changing requirements.

  • An entrepreneurial and collaborative spirit, with a passion for creating smooth, impactful, and well-organized project outcomes.

Your Day-to-Day Role as a Project Operations Executive

Support the planning and coordination of operational aspects for events and projects, including logistics, vendor management, and on-site execution. Collaborate with career services and stakeholders to ensure all requirements are met, while assisting with budget planning and expense monitoring. Handle real-time issue resolution during events and contribute to visual design needs by creating graphics aligned with brand guidelines.
